4 Misconceptions About Editorial Workflows

editorial workflow

We all know that content is king. If creating content is part of your business or marketing strategy, creating content is only half the battle. Finding a system that helps you create, edit, and distribute is just as important as actually creating the content. Yet, groups and organisations are still reluctant about creating an editorial workflow to manage their writing process.

An editorial workflow can help you save time and reduce the chaos of the editorial process. Investing in a tool to help you plan, edit, and revise content is valuable to many websites. Here are four misconceptions, and the counter facts, about editorial workflows:

1. I only need to use a workflow if I have a big team.  Even small teams have multiple contributors and editors. If you have more than one person involved in your content creation a workflow can help you keep the process clear.  Even the most talented writer can use an extra set of eyes to review and give feedback on their content before publishing. Online publishing has also opened up the opportunity to update and refine old pieces. If you would like to keep your old content up to date with new information, using a workflow will help you keep track of old articles.

2. I only need to use a calendar if I am publishing a lot of content. Most websites are not putting out daily, or even weekly content. Editorial calendars aren’t just for people posting a lot of content. Anyone posting regular content can benefit from an editorial workflow. Workflows help you create high-quality content, no matter how often you publish.

3. I don’t need an editorial process. Many people think that by hiring great writers, an internal editorial process can be eliminated. But, even the most talented writers can benefit from review and feedback. Further, editors are often experts on a particular topic. This gives them better insight into what information readers are looking for. A review process can help add valuable content to an article.

4. My industry is too boring to create interesting content. For some, the reluctance is not about organising a workflow but about content creation in the first place. A great content strategy  can help build your business. Find what your customers are passionate about, and create content around that. Every topic has an interesting peripheral or niche to it. By getting to know your customers better, you will be able to find out what their needs, passions, and interests are and can create helpful content using your expertise.

Do you have any other concerns about using an editorial workflow? What other misconceptions have you come across?

4 Signs You Should Invest In A WordPress Editorial Plugin

Wordpress Editorial Plugin

Do you have a team of bloggers and content creators contributing to your web site? How do you organize your workflow? Does the editing process make your head spin? Are you tired of bouncing emails back and forth with writers without a good way to organize feedback and revisions?

It may be time to invest in an editorial workflow plugin.

WordPress is a great tool to create and publish content. Yet when it comes to working with multiple writers, the revision process can get complicated. Let’s face it, there’s no good way to manage an editorial and revision process without the right plugin. Still not sure if a plugin is right for you? Here are 4 signs you should start using an editorial workflow plugin:

1. You want to automate your review process. An editorial workflow plugin should allow you to create custom workflows for your editorial review process. Having a visual view of the entire process and knowing who on your team handles editing and publishing will make the entire process easier to plan.

2. You want to streamline the editing process.  Editorial  plugins allow you to assign tasks to different team members. This includes writing, editing, and publishing at different times in the process. This reduces the scramble that can often come with a tight publishing schedule. Make sure your posts go through the proper process and are published on time.

3. You want to review changes on live edits.  Workflow plugins let you make edits to posts without taking them offline. This means no more broken links or page redirects while you are making page edits. Continue to work on and edit your content even after it is published without having to take it offline.

4. You want to log history. You want to be able to visualize who submitted edits, wrote content or suggested changes for any post at any time. A good workflow plugin will store your history for each piece of content. This allows you to access contributions and edits over time. This can help with measuring the success of different changes to your marketing plan. Tracking edits can help show what caused increases in social media shares or search engine rankings.

Investing in an editorial plugin for your WordPress site can help your team focus on creating great content rather than focusing on the editorial process.  If you find that you are spending more time on managing the editorial workflow than creating valuable content, it might be time to find the right plugin for your team.

Oasis Workflow Pro v2.1 Released

From everyone here at Oasis Workflow, we are thrilled to announce that version 2.1 has been released to the world!

The focus for 2.1 was on enhancing the two most important features of Oasis Workflow Pro (document revisions and auto submit) along with improving the user experience.

What’s new in Oasis Workflow Pro v2.1

Revision Compare – You can now compare the revision with your original article.

compare with original

Revision Delete – After the revision has been copied over to the original article via the workflow, you can now configure to delete the revision. This will help to keep your system clean and get rid of posts which are not required any more.

In order to preserve the workflow history of the “copy of” version, the plugin will move it to the original article. This will help you trouble shoot any issues and have an audit trail of the review done on the revision.

Auto Submit Keyword Search expansion – Until now, the auto submit engine was only looking at the post title for keyword matching. With this release we have expanded the keyword search to “tags” and “categories”.

auto submit keyword search

Email Settings – A new tab in the Settings page, to better control how and when emails are sent from Oasis Workflow for task assignments, reminders and post publish.

Along with the above features, we have introduced the following significant improvements:

New hooks – The following hooks are added to the plugin to support customization.

  • Submit to Workflow – owf_submit_to_workflow
  • Step Sign off – owf_step_sign_off
  • Workflow Complete – owf_workflow_complete

Self Review – We had restricted self review until now. With this release, we will allow for self review. Essentially, a user can assign the task to him/her, review it and sign off the task.

We will now display the workflow revision in the Inbox task list also.

We have fixed the issue when “review” is the last step, the workflow history was not showing “workflow completed” status.

Revision Exists Popup – We have refined the “revision exists” popup to allow the user to navigate to the revision from the popup itself.

Abort Workflow is added to the Inbox page. This will allow the users to abort the workflow from their inbox.

Oasis Workflow is compatible with WPML

You can use the workflow features and the post/page revision features of Oasis Workflow in conjunction with WPML.

With WPML you can translate pages, posts, custom types, taxonomy, menus and even the theme’s texts. The WPML team provides full support, helping you deliver perfect websites on time.

In order to connect the revisions of translated pages with the original translated page, you can add the following custom code by implementing the ‘wpml_after_save_post’ hook.

add_action( 'wpml_after_save_post', function ($post_id, $trid, $language_code, $source_language) {

    $orig_id = apply_filters('wpml_object_id', $post_id, 'any', false, $source_language);
    if (!$orig_id) return;

    $oasis_original = get_post_meta($orig_id, '_oasis_original', true);
    if (!$oasis_original) return;

    $our_original = apply_filters('wpml_object_id', $oasis_original, 'any', false, $language_code);
    if (!$our_original) return;

    update_post_meta($our_original, '_oasis_current_revision', $post_id);
    update_post_meta($post_id, '_oasis_original', $our_original);

}, 11, 4 );

Revise published content and add Workflow Support to revised content

Want to update published content WITHOUT taking the article offline?

Oasis Workflow has support for updating published content via workflow while keeping your current version of published content online.
You can revise an article, let the revised article flow through the workflow and finally when all the review is complete, Oasis Workflow will simply copy over the contents to the published article.

It not only copies the revised content, but also copies the various artifacts, like category changes, tag changes and all the post meta attributes to the revised article.
